Ark Veterinary ("Ark," "we," "us," or "our"), operated by MatrixFlow LLC, provides a cloud-based veterinary practice management platform at arkcloud.vet. This Privacy Policy describes how we collect, use, and protect information when veterinary practices use our platform and when their clients ("pet owners") interact with our services, including receiving text messages and emails.
We collect the following types of information on behalf of veterinary practices that use our platform:
Pet Owner Information: Name, phone number, email address, mailing address, and other contact details provided during veterinary clinic intake.
Patient (Pet) Information: Pet name, species, breed, date of birth, weight, medical history, vaccination records, lab results, prescriptions, and clinical notes.
Communication Data: Records of text messages and emails sent through our platform, including appointment reminders, preventative care notifications, and boarding updates.
Payment Information: Payment transactions are processed through Stripe. We do not store credit card numbers on our servers.
If you opt in to receive text messages, your veterinary clinic will use your mobile phone number to send appointment reminders, prescription notifications, and other care-related communications.
Your mobile information will not be shared with or sold to third parties for marketing or promotional purposes. Mobile opt-in data is not shared with third parties.
You can opt out of SMS communications at any time by replying STOP to any message, or by updating your preferences in your pet portal account.
We use the information collected to:
Provide veterinary practice management services to clinics, send appointment reminders via SMS and email, send preventative care and vaccination due notifications, send boarding check-in and check-out updates, process payments for veterinary services, and generate clinical summaries and reports for veterinary staff.
Our platform sends text messages to pet owners on behalf of veterinary practices for the following purposes:
Appointment reminders sent 24 hours and 2 hours before scheduled visits. Preventative care reminders when vaccines or other care items are due. Boarding updates including check-in confirmations and pickup notifications.
Message frequency varies based on scheduled appointments and care needs, typically 2 to 8 messages per month. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
To opt out of text messages, reply STOP to any message. To get help, reply HELP or contact your veterinary clinic directly.
What we send: Ark sends transactional SMS messages on behalf of veterinary clinics, including appointment reminders, prescription ready notifications, lab result alerts, vaccination reminders, and discharge follow-up communications.
How you opt in: Pet owners opt in during patient portal account creation by providing their mobile phone number and consenting to receive transactional text messages from their clinic. Consent is not a condition of purchasing any goods or services.
How you opt out: You can opt out at any time by replying STOP to any message, or by managing your notification preferences in your portal profile settings under the Notifications section. Reply HELP for help.
Message and data rates may apply. Message frequency varies based on clinic activity and your pet's upcoming appointments.
SMS/text messaging opt-in data and consent will not be shared with any third parties.
We do not sell, rent, or share personal information with third parties for marketing purposes. We share information only as follows:
With the veterinary practice that collected the information (as they are the data controller), with service providers necessary to operate the platform (AWS for hosting, Twilio for text messaging, Stripe for payments), and when required by law or to protect the safety of individuals.
We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, role-based access controls, and regular security assessments. Our platform is hosted on Amazon Web Services (AWS) infrastructure.
We retain information for as long as the veterinary practice maintains an active account with us, or as required by veterinary record-keeping regulations. Pet owners may request deletion of their personal information by contacting their veterinary clinic.
